Job Title

Administrative Assistant

General Summary

The Senate Office of Multimedia Communication and Instructional Design (MCID) is seeking to fill an Administrative Assistant position to serve as assistant to the MCID Manager, answering the phones, assisting MCID staff with projects, purchasing and delivery. This individual will be responsible for welcoming guests and coordinating calendars.

Examples of Work Performed

  • Assists the Manager and MCID staff in handling daily administrative duties and acts in matters where authority has been delegated.
  • Performs special assignments and research.
  • Performs general office management duties.
  • Processes a variety of correspondence, investigates subject matter, and prepares replies.
  • Prepares confidential correspondence, secures information necessary for preparing replies, and answers telephone inquiries to relieve supervisor from routine assignments.
  • Assists in planning meetings and trainings.
  • Performs other related duties as required.

Knowledge, Skills and Abilities

  • Knowledge of administrative principles and practices.
  • Knowledge of research techniques.
  • Ability to pay attention to detail and review work for accuracy and quality of content.
  • Ability to work cooperatively as a team member and to contribute to the efficient internal functioning of the unit.
  • Ability to plan, organize, and coordinate work assignments.
  • Ability to communicate effectively verbally and in writing.
  • Ability to deal tactfully and courteously with the demands of the public.
  • Ability to handle confidential information.
  • Ability to understand and apply rules, regulations, policies, and procedures.
  • Ability to prepare reports, correspondence, and maintain records.
  • Ability to utilize problem-solving techniques.

Minimum Qualifications

A bachelor’s degree from an accredited college or university.

Administrative experience can substitute on a year-for-year basis for the required college education.

Salary

Salary commensurate with experience.
